If it cannot be resolved quickly, arrange for the event to be transferred to a backup venue or online event (some activities can be carried out using the online conference platform commonly used by the club). Notify all members to stay calm and wait for new arrangements.
2. Members suddenly fall ill or get injured during the event. Stop the event immediately and check the injured or sick members as soon as possible. If they feel slightly unwell, send them to the nearest medical office or call the emergency number 120 for professional treatment. Stay calm, notify their emergency contact, and arrange other members to assist in handling the aftermath. Record the incident and report it to the relevant school departments for follow-up.
3. Fire or other safety accidents, fire or other accidents that may endanger personal safety at the event venue. Stop the event immediately, quickly organize all members to evacuate the scene in an orderly manner, go to the designated safe evacuation point to call the fire alarm number 119, and notify the venue management staff to assist in handling. After ensuring that all members have evacuated safely, assist firefighters in controlling the fire. Count the number of members to ensure that no one is stranded in the dangerous area.
4. Equipment failure or technical problems Multimedia equipment or computers used for display, games, and movie playback have malfunctions. Check the equipment quickly, arrange spare equipment, or try to restart and repair. If it cannot be solved quickly, adjust the event schedule and replace the relevant links with other games or discussion activities. Communicate with the venue technical support or the technical person in charge of the club to ensure that equipment problems will not affect the subsequent activity process.
5. Sudden weather changes make outdoor activities impossible If some activities are arranged outdoors and suddenly encounter bad weather (such as heavy rain, strong wind, etc.). Stop outdoor activities immediately and guide members to a safe indoor area. Adjust the activity process and change outdoor activities to indoor activities, such as interactive games, discussions, etc. Keep an eye on weather conditions and ensure that all members have a safe return plan at the end of the activity.
6. If a member is injured on the way to the activity site, if there is a companion, decide whether to continue to participate in the activity after assessing the injury. If not, the event organizer will rush to the scene immediately and accompany the injured member to the nearest hospital if treatment is required.
