Feedback on AAI Club's Autumn 2025 All staff Meeting Event

On the evening of September 25, 2025, the AAI Artificial Intelligence Association successfully held its autumn general meeting at SA136. The theme of this conference is "AI First Impressions: Joining Hands for the Future", aiming to help new members quickly integrate into the club, promote communication between new and old members, and showcase the club's organizational structure, high-quality activities, and resource platform. The event attracted about 150 new and old members to participate, with a lively atmosphere and frequent interactions, achieving good results.

1、 Review of Activity Process

1. Check in and Opening Ceremony: From 19:00 to 19:10, students gradually checked in and entered the venue. Host Zhao Mengxin warmly welcomed everyone's arrival and briefly introduced the activity process, marking the beginning of the conference.

2. President's speech and structure introduction: From 19:10 to 19:20, the president took the stage to give a speech, elaborating on the history, organizational structure, and functions of each department of the AAI Artificial Intelligence Association, giving new members a preliminary understanding of the association. Subsequently, the president presented the club's annual roadmap and activity timeline, giving the students a clear understanding of the club's future development direction and activity arrangements.

3. Lottery session: Two rounds of lottery activities were held from 19:20 to 19:25 and from 19:40 to 19:45, respectively. The prizes include exquisite teddy bear merchandise, etc. The lottery process is intense and exciting, and the atmosphere on site is lively. The lottery not only increases the fun of the activity, but also enhances the sense of belonging and participation of the members.

4. Speeches from the new and old management teams: From 19:25 to 19:40, representatives from the new and old management teams will speak separately. They shared their growth experiences and insights in the club, encouraging new members to actively participate in club activities and be brave enough to try and challenge themselves. Their speech won rounds of applause from their classmates and set an example for the new members.

5. Tea break and ice breaking communication: 19:45-20:30, during the tea break, students can enjoy delicious food while freely communicating. This section breaks down the barriers between grades and majors, promoting mutual understanding and integration between new and old members. Many students have found like-minded friends through communication and even formed research project groups, laying a solid foundation for future club activities.

6. Ending and Exiting: 20:30-20:40, the host announces the end of the conference, and students exit in an orderly manner. The staff quickly cleaned up the venue to ensure its cleanliness after the event.

Rich in content and diverse in form: This conference not only featured detailed introductions from the president and speeches from new and old management, but also included lucky draws and tea breaks, making the event more diverse and avoiding monotony and boredom. The lottery activity has increased interactivity and fun, while the tea break provides opportunities for students to communicate, making the entire event full of vitality.

2. Promote communication and break down barriers: Through tea breaks and ice breaking communication sessions, there has been more interaction and communication between new and old members. Students are no longer limited to their own grade and major, but can freely exchange ideas and experiences with other members. It is recommended to set clear time reminders in advance for subsequent activities to ensure that they end on time.

2. Interactive section optimization: Although the lottery and tea break sections have increased the fun of the event, the interactive section can still be further optimized. For example, some AI related games or Q&A sessions can be added to allow students to learn AI knowledge while having fun, further enhancing the educational significance of the activity.
